About the role

You will run the file work on workers' compensation claims for a US law firm, from the first filing through to hearing. That means keeping every claim tracked against state board deadlines, building the medical record that supports it, and staying on carriers until benefit checks actually move. This is not a general litigation support job. The firm wants depth in one state's comp system, its forms, its board portal, and its timelines, rather than passing familiarity with several. If you have worked comp claims long enough to know what a delay notice means and what to do the same day it arrives, this will feel familiar.

Key responsibilities

Claim Filing and Board Deadlines

  • Prepare and file claim petitions, notices, and state board forms through the state's electronic filing system.
  • Calendar every statutory and board-imposed deadline as soon as a filing or order comes in.
  • Track each open claim against its next required action and flag anything at risk of lapsing.
  • Respond to board correspondence, deficiency notices, and scheduling orders within the required window.

Medical Records

  • Order treatment records, imaging reports, and billing from providers and follow up when they stall.
  • Organize records chronologically by provider and treatment date so the attorney can find anything quickly.
  • Summarize treatment history, work restrictions, and impairment ratings for attorney review.
  • Identify gaps in the record that could weaken causation or extent of disability.

Hearing Preparation

  • Assemble hearing packets with pleadings, medical exhibits, wage statements, and witness materials.
  • Confirm hearing dates and venue requirements with the board and calendar all pre-hearing submissions.
  • Prepare exhibit indexes and deliver copies to opposing counsel within service deadlines.
  • Coordinate with clients on hearing logistics, documents to bring, and what to expect.

Carrier and Benefits Follow-Up

  • Contact adjusters to confirm compensation rates, payment status, and authorization for treatment.
  • Chase late indemnity and medical payments and document every contact attempt.
  • Escalate denied or delayed authorizations to the attorney with the supporting file history.
  • Reconcile payment records against the claim file to catch underpayments and missed periods.

Client Communication

  • Update injured workers on claim status, upcoming hearings, and what the board has ordered.
  • Collect wage records, employment details, and treatment updates directly from clients.
  • Document all client contact in the case management system the same day it happens.

Qualifications

  • Three or more years as a workers' compensation paralegal or claims assistant supporting a US law firm.
  • Working knowledge of one state's workers' compensation system, including its forms, filing portal, and hearing procedure.
  • Hands-on experience with electronic filing through a state workers' compensation board.
  • Comfort with case management and document software such as Clio, Filevine, Smart Advocate, MerusCase, or Adobe Acrobat.
  • Confident phone and email manner with adjusters, provider offices, and board staff.
  • Strong calendaring discipline and the habit of checking deadlines daily rather than weekly.
  • Ability to work US business hours and reach adjusters and providers during their day.
  • Clear written English and the judgment to raise problems early instead of waiting to be asked.
