About the role
You prepare and track family- and employment-based immigration filings for a US law firm, from first document request through approval. Most of the work is assembly and follow-up: building complete I-130, I-485, I-140 and N-400 packages, then staying on top of receipt notices, priority dates and processing times that shift month to month. A large part of your day is chasing clients for the documents they still have not sent, so patience and persistence matter more here than polish. You will also draft RFE responses for an attorney to review, which means you need to read the notice closely and know what evidence actually answers it. USCIS changes forms and fee rules without warning, and you are expected to catch that before a package goes out.
Key responsibilities
Petition and Application Packages
- Prepare I-130, I-485, I-140 and N-400 packages from client-supplied documents.
- Review passports, birth and marriage certificates, tax records and employment letters for completeness and consistency.
- Confirm you are using the current USCIS form edition and fee amount before every filing.
- Assemble exhibits, cover letters and signature pages for attorney review.
- Flag eligibility issues or gaps in the record to the attorney before the package is finalized.
Case Tracking and Deadlines
- Log every receipt notice, biometrics appointment and interview date against the correct case file.
- Monitor priority dates in the monthly Visa Bulletin and alert the attorney when a case becomes current.
- Maintain the case calendar and adjust it as USCIS processing times move.
- Check case status online and escalate filings that have gone quiet past normal processing.
- Track RFE and NOID response deadlines so nothing runs out of time.
Client Document Follow-Up
- Contact clients by email and phone to request missing documents and translations.
- Follow up repeatedly on outstanding items until the file is complete.
- Explain in plain terms what each requested document is and why USCIS needs it.
- Record every contact attempt and client response in the case management system.
RFE and Correspondence Drafting
- Read each RFE closely and identify exactly what evidence USCIS is asking for.
- Draft the response and supporting evidence index for attorney review.
- Prepare cover letters, G-28s and address change filings as needed.
- Organize approval notices and send copies to clients with clear next steps.
Qualifications
- Three or more years of hands-on US immigration paralegal work, including family-based and employment-based filings.
- Direct experience preparing I-130, I-485, I-140 and N-400 packages end to end.
- Working knowledge of USCIS receipt notices, priority dates and the monthly Visa Bulletin.
- Comfort with USCIS forms, fees and filing addresses changing without notice, and a habit of verifying before filing.
- Experience with immigration case management software such as INSZoom, Docketwise, LawLogix or Cerenade.
- Solid command of Adobe Acrobat for assembling, bookmarking and compressing large exhibit packages.
- Clear written and spoken English for direct client contact.
- Persistence in following up with clients who do not respond the first, second or third time.
- Ability to work US business hours and raise problems early rather than waiting to be asked.
