About the role
You keep a US law firm's calendar and case files in order from wherever you are. This role sits at the center of the firm's daily rhythm: scheduling depositions and client meetings, confirming court dates, and making sure filings go out with the right documents attached. Unlike a general admin seat, you will be the person clients hear from first, so clear written English and a steady phone manner matter as much as organization. You will work US business hours and coordinate directly with attorneys rather than through a layer of supervisors. The firm runs lean, which means your systems become the firm's systems.
Key responsibilities
Calendar and Scheduling
- Maintain attorney calendars across matters, including hearings, depositions, client meetings, and internal check-ins.
- Calculate and docket deadlines from court rules and scheduling orders, then set reminders well ahead of each date.
- Resolve scheduling conflicts by coordinating with opposing counsel, court clerks, and client offices.
- Circulate a daily or weekly look-ahead so attorneys know what is coming before it arrives.
Client Communication
- Answer client calls and emails, log the contact, and route anything requiring legal judgment to the responsible attorney.
- Send appointment confirmations, intake forms, and document requests, then follow up when responses stall.
- Draft routine correspondence and status updates for attorney review.
- Keep clients informed about upcoming dates and what they need to bring or sign.
Filing Support
- Prepare documents for filing by formatting, paginating, assembling exhibits, and checking signature blocks.
- Submit filings through court e-filing portals and confirm acceptance.
- Track filing receipts and conformed copies back into the matter file.
- Flag rejected filings immediately and correct them the same day where possible.
Records and Document Management
- Organize case files in the firm's document management system using consistent naming and folder structure.
- Scan, index, and store incoming mail and correspondence against the correct matter.
- Retrieve documents on request during calls and hearings without delay.
- Maintain version control so attorneys are always working from the current draft.
Administrative Workflows
- Build and document repeatable processes for intake, scheduling, and file opening and closing.
- Prepare and circulate meeting agendas, notes, and task lists after attorney meetings.
- Order transcripts, records, and service of process, and track their status to completion.
- Identify recurring bottlenecks in the firm's admin routine and propose fixes.
Qualifications
- Three or more years supporting attorneys or a legal team, ideally for a US firm.
- Hands-on experience with case management software such as Clio, MyCase, Filevine, or Smokeball.
- Working knowledge of court e-filing systems (PACER, CM/ECF, or state portals) and how to fix a rejected filing.
- Comfort with Microsoft Office, Google Workspace, Adobe Acrobat, and at least one e-signature tool such as DocuSign.
- Accurate calendaring under deadline pressure, including rule-based date calculation.
- Clear, professional written and spoken English suited to direct client contact.
- Willingness to work US business hours with reliable internet and a quiet space for calls.
- Self-directed follow-through, since attorneys will hand you a task and expect it closed without reminders.
