About the role
You will support a family law attorney who handles divorce, custody, and support matters. Much of the work is time-sensitive: hearing dates, discovery deadlines, and filings that have to go out correctly the first time. You will also talk to clients directly, often people going through the worst months of their lives, so how you handle a phone call matters as much as how you handle a docket. This role sits closer to the case file than a general admin job does. You will read bank statements, pay stubs, and custody schedules, and you will be trusted with all of it.
Key responsibilities
Calendar and Court Dates
- Maintain the attorney's calendar, including hearings, mediations, depositions, and client meetings.
- Calendar deadlines from court notices and scheduling orders, and flag conflicts before they become problems.
- Send reminders to the attorney and to clients ahead of court appearances and document deadlines.
- Track continuances and rescheduled hearings and update every affected entry.
Financial Affidavits and Disclosures
- Collect bank statements, pay stubs, tax returns, and expense records from clients.
- Build financial affidavits and income and expense schedules from the source documents.
- Reconcile figures across statements and raise gaps or inconsistencies with the attorney.
- Organize exhibits and supporting documentation for financial disclosure filings.
Pleadings and Filing
- Format petitions, motions, orders, and notices to the court's local rules.
- Assemble exhibits, certificates of service, and signature pages before filing.
- File documents through the applicable state e-filing portal and confirm acceptance.
- Serve conformed copies on opposing counsel and save filed versions to the case file.
Client Intake and Communication
- Run intake calls for new matters and capture the facts the attorney needs to evaluate the case.
- Run conflict checks and open new matters in the case management system.
- Give clients status updates on filings, hearing dates, and outstanding document requests.
- Follow up on missing client documents until the file is complete.
Records and Confidentiality
- Maintain organized digital case files for custody, financial, and correspondence records.
- Handle sensitive material, including custody evaluations and financial account data, without discussing it outside the matter.
- Apply the firm's retention and access practices to every document you touch.
Qualifications
- Two or more years supporting a US law firm, with direct exposure to family law matters such as divorce, custody, or support.
- Hands-on experience with e-filing systems (Odyssey eFileAndServe, File and ServeXpress, or a state equivalent).
- Working knowledge of a legal case management platform such as Clio, MyCase, Smokeball, or Filevine.
- Strong Microsoft Word formatting skills, including styles, tables, and pleading templates, plus Excel for financial schedules.
- Comfort reading bank statements, pay stubs, and tax returns and pulling accurate numbers from them.
- Clear spoken English and the patience to handle emotional client calls without losing the thread.
- Discretion with confidential custody and financial information, and a habit of not oversharing.
- Reliable availability during US business hours and a home setup that supports daily client calls.
